Viva Events is a full-service event design and décor company in Sydney, specialising in creating stylish, elegant, and memorable celebrations for every occasion.

Our services include backdrops, balloons, centrepieces, fresh & artificial florals, table styling, cultural setups, custom themes, photo booth décor, kids’ party styling, and complete event transformations.

Terms & Conditions

These Terms and Conditions (“Terms”) apply to all quotations, proposals, bookings and services supplied by Viva Event (ABN available on request). By using this website, paying a deposit or confirming a booking, you agree to these Terms and to all applicable laws of the Commonwealth of Australia and the State of New South Wales. Nothing in these Terms limits your non-excludable rights under the Australian Consumer Law (ACL).

1. Quotes, Pricing & Taxes

  • Written quotes are valid for 14 days unless stated otherwise and may change if scope, venue, date or supplier costs change.
  • All prices are in AUD and include GST where applicable under the A New Tax System (Goods and Services Tax) Act 1999.
  • Additional charges may apply for overtime, late venue access, extended hire, damages, tolls, parking or out-of-metro travel.

2. Bookings, Deposits & Payments

  • A non-refundable deposit of 30–50% (shown on your invoice) is required to secure a date and allocate stock and labour.
  • Balances are payable no later than 14 days prior to the event unless agreed in writing.
  • Unpaid balances may result in cancellation and forfeiture of the deposit.

3. Changes, Postponements & Cancellations

  • Changes: Minor styling changes may be accommodated up to 14 days prior, subject to stock and feasibility.
  • Client cancellation > 30 days: deposit forfeited; other payments refunded less documented costs.
  • Client cancellation ≤ 30 days: all monies paid are non-refundable due to procurement and labour scheduling.
  • Postponement: one date change may be offered (subject to availability) within 6 months; price differences may apply.
  • Supplier/venue pandemic or government restrictions: we will work with you to rebook or offer a fair remedy consistent with the ACL.

4. Client Responsibilities

  • Provide accurate event details, timely approvals, floor plans and access instructions.
  • Ensure safe access for bump-in/bump-out, loading zones and lifts; obtain any venue permits/clearances.
  • Observe venue and Work Health and Safety Act 2011 (NSW) requirements at all times.

5. Hire Items, Care & Bond

  • All hire stock remains the property of Viva Event. A refundable security bond may be required.
  • Loss, breakage or damage (including wax, stains or water damage) will be charged at replacement value plus handling.
  • Client assumes risk for items after delivery/installation until collection, unless otherwise stated.

6. Delivery, Setup & Pack-down

  • Standard delivery includes one setup and one pack-down during standard hours. Surcharges apply for after-hours or split runs.
  • If the venue is not ready at the booked time, waiting charges or reduced styling may be necessary to meet safety and venue curfews.

7. Force Majeure

We are not liable for delays or failure to perform due to events beyond our reasonable control (e.g., extreme weather, strikes, utility failures, public health emergencies, government orders). We will take reasonable steps to mitigate impacts and offer alternative dates where possible.

8. Intellectual Property

All concepts, visuals, mood boards, photos, written materials and custom designs created by Viva Event are protected by the Copyright Act 1968 (Cth). They may not be reproduced without written consent. Client-supplied logos/marks remain the client’s property.

9. Photography & Promotion

Unless you notify us in writing before the event, you grant Viva Event permission to photograph/film our styling for portfolio, website and social media, ensuring no confidential client details are disclosed.

10. Insurance & Risk

Viva Event holds standard public liability insurance. Clients are responsible for appropriate event/venue insurance for their guests and property. Children must be supervised around décor, candles, florals and electrical items.

11. Warranties, Consumer Guarantees & Remedies (ACL)

Services are supplied with due care and skill and within a reasonable time as required by the ACL (Schedule 2 to the Competition and Consumer Act 2010 (Cth)). If a major failure occurs, you are entitled to a replacement or refund; for minor issues, we will remedy within a reasonable time. Any limitation of liability in these Terms operates subject to your non-excludable ACL rights.

12. Limitation of Liability & Indemnity

To the extent permitted by law, we exclude all liability for indirect or consequential loss (loss of profit, reputation, enjoyment). You agree to indemnify us against claims arising from your breach of these Terms, venue non-compliance or misuse of hired items.

13. Third-Party Suppliers

We may engage trusted subcontractors (e.g., florists, lighting, AV, furniture). We coordinate them with reasonable care but are not responsible for acts/omissions outside our control.

14. Privacy & Data

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. See our Privacy Policy below for collection, use, storage, access and complaints.

15. Dispute Resolution

If an issue arises, please contact us promptly. Both parties will attempt good-faith negotiation and, if needed, mediation under NSW law before litigation.

16. Governing Law & Jurisdiction

These Terms are governed by the laws of New South Wales, Australia. Each party submits to the exclusive jurisdiction of the NSW courts.

Viva Event respects your privacy and complies with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains how we collect, use and protect personal information.

1. What We Collect

  • Identity & contact details: name, email, phone, company, role.
  • Event details: dates, venue, styling preferences, budgets.
  • Transactional & communications records.
  • Website data (cookies/analytics). You can disable cookies in your browser.

2. Why We Collect It

  • To provide quotations, plan and deliver event styling services.
  • To coordinate suppliers, logistics, safety and insurance needs.
  • To send booking updates or (with consent) marketing you can opt out of anytime.

3. Disclosure

We do not sell personal information. We may share limited data with verified suppliers solely to deliver your event (e.g., florists, venues, couriers). Overseas disclosure is not typical; if required, we will ensure appropriate protections consistent with APP 8.

4. Security & Retention

We use reasonable technical and organisational measures (HTTPS, access controls). Records are retained only as long as necessary for business and legal requirements, then securely destroyed.

5. Access, Correction & Complaints

You may request access to, or correction of, your personal information by emailing vivaeventssydney@gmail.com. If you believe we have breached the APPs, contact us and we will respond promptly. You may also contact the Office of the Australian Information Commissioner (OAIC).
